1. Attend the VIP Volunteer Planning Dinner with the McCords (Friday, Oct 3 at 5:00 PM)
   
   
2. Assemble EnneaCon Bags (for VIPs and General Admission)
   
   
3. Print and organize name tags
   
   
4. Design a streamlined check-in system (digital or printed)
   
   
5. Arrive early Saturday (7:00 AM) to set up the check-in area
   
   
6. Implement a VIP check-in and reserved seating plan
   
   
7. Warmly greet guests, answer questions, and direct them
   
   
8. Clear the check-in area once the main sessions begin
   
   

Provide a final headcount and check-in data to the event coordinator

Ideal Team Member:

Team Size: 10 volunteers
(Divided into Breaks, Lunch)

Key Responsibilities:

1. Attend the VIP Volunteer Planning Dinner at the McCords (Friday, Oct 3 at 5:00 PM)
   
   
2. Coordinate with caterers for breaks and lunch. (Frothey Monkey, Five Daughters, Baked on 8th, Chipotle)
   
   
   
3. Coordinate the purchase of drinks, snacks, and supplies for all hospitality. (YEC will be responsible for purchasing.)
    
4. Arrive by 7:00 AM Saturday to set up hospitality areas before 8:00 AM arrival.
   
   
5. Maintain morning and afternoon hospitality tables during breaks.
   
   
6. Receive and set up food from caterers at designated times.
   
   
7. Restock and tidy food/beverage stations during sessions
   
   
8. Take down hospitality areas after the final Saturday session (before the Afterparty)

Ideal Team Member:
You’re calm under pressure, detail-savvy, and deeply reliable. You love making others look and feel their best, especially when it comes to creating clarity behind the scenes. You’re the glue between tech, talent, and timing.

Key Responsibilities:

1. Coordinate with the emcee, keynote speakers, and panelists before the event to gather slide decks, handouts, and presentation needs.
   
   
2. Collaborate with the event coordinator and emcee to create and execute a detailed “Run of Show” that maps out every session, transition, and cue.
   
   
3. Liaise with the A/V lead onsite to ensure smooth transitions and tech readiness.
   
   
4. Serve speakers and the emcee during the event—providing water, microphones, slide clickers, and timely updates.
   
   
5. Troubleshoot any speaker needs in real time with warmth and professionalism.
   
   
6. Ensure each speaker and panelist feels supported, confident, and equipped.

Ideal Team Member:
You have an eye for detail and a heart for hospitality. You love creating environments that feel intentional, beautiful, and energizing, down to the last banner or backdrop. Whether it’s a stage, a sign, or a selfie station, you know how to bring a space to life.

Team Size: 5 volunteers

Key Responsibilities:

1. Attend the VIP Volunteer Planning Dinner at the McCords (Friday, Oct 3 at 5:00 PM)
   
   
2. Coordinate with vendors for signage, décor, or display deliveries
3. Create curated music playlists for:

• Morning arrival
• Lunch and breaks
• Afterparty dinner
  
  

1. Arrive by 7:00 AM on Saturday to begin transforming the venue with signage, stage elements, and interactive stations.
   
   
2. Style the stage, photo booth, entry area, and signage
3. Set up and assist with the photo booth, including props, lighting, and crowd flow
   
   
4. Help with midday touch-ups to maintain visual excellence.
   
   
5. Refresh or reset any visual elements for the Afterparty atmosphere.
   
   
6. Assist with event teardown after the Afterparty concludes.

Ideal Team Member:

You’re organized, responsible, and enjoy helping people discover the right tools to grow. You’re comfortable handling transactions and creating an inviting, helpful space.

Team Size: 3–4 volunteers

Key Responsibilities:

1. Coordinate with authors who wish to sell books or materials.
   
   
2. Secure inventory prior to the event and track what arrives.
3. Attend the VIP Volunteer Planning Dinner at the McCords (Friday, Oct 3 at 5:00 PM)
   
   
4. Set up the Square App for quick and easy transactions.
   
   
5. Create signage with clear pricing and book descriptions.
   
   
6. Be present at the Resource Table during breaks, lunch, and transitions.
   
   
7. Keep the table neat, stocked, and welcoming throughout the day.
   
   
8. Tear down the table after the Afterparty concludes at 8:00 PM.
   
   
9. Return all remaining inventory and sales details to the McCords.
